Microsoft Copilot: The Guide for Businesses [2026]

Microsoft Copilot is Microsoft's AI assistant built into the Microsoft 365 (M365) ecosystem. It runs on OpenAI models as its engine: since March 2026, Copilot in M365 has used GPT-5.4 Thinking, OpenAI's advanced-reasoning model, integrated directly into Microsoft's enterprise applications.

Microsoft has invested more than $13 billion in OpenAI and is its main commercial partner: this guarantees it priority access to the most advanced models. Copilot is not just a chatbot bolted onto existing applications: it is an AI layer that connects all of Microsoft 365's data (email, calendar, documents, Teams chats, SharePoint files) and makes it queryable and actionable in natural language.

In 2026, Copilot comes in three main variants: Microsoft 365 Copilot (for business users, built into M365 apps), Copilot Studio (for building custom AI agents with no code), and GitHub Copilot (for developers, covered separately in our GitHub Copilot guide).

Copilot's main differentiator versus ChatGPT or Claude is its integration with company data in M365. Copilot does not require copying and pasting text: it works directly on files in SharePoint, emails in Outlook, Teams transcripts, and the company's Excel sheets.

• Word - Draft documents from scratch, rewrite sections, change tone, generate summaries. Copilot can create a 10-page document starting from a 5-line brief, drawing on related documents in SharePoint.
• Excel - Data analysis in natural language: ask it to spot trends, build pivot tables, generate charts. The Copilot in Excel feature removes the need to know complex formulas for 80% of standard analyses.
• Outlook - Summarizing long emails and threads, drafting replies, smart prioritization. Copilot Coach in Outlook suggests improvements to tone and clarity before you send an email.
• Teams - Automatic meeting transcription, summaries with action items, answers to questions like 'what did I miss?' after a meeting you did not attend.
• PowerPoint - Builds presentations from a Word document or a prompt, suggests layouts, generates speaker notes. Copilot Designer adds AI-generated images directly into the slides.
• OneNote - Organizes notes, turns scattered notes into project plans, generates summaries of brainstorming sessions.

Microsoft 365 Copilot uses a per-user add-on pricing model. It is not included by default in existing M365 plans.

• The $30/user/month cost for Copilot stays the same regardless of the base plan. For a 100-person company, the annual investment in Copilot licenses alone is about $36,000.
• Microsoft requires a minimum of 300 users to activate Copilot (down from the original 1,000 in 2024). Exceptions exist for SMEs through specific programs.
• On the ROI side, Microsoft has published internal data: employees with Copilot complete tasks 29% faster and 68% report being able to focus on more important work. Forrester data points to a potential ROI of 162% over 3 years for mid-sized companies.

Copilot Studio is Microsoft's low-code/no-code tool for building custom AI agents on top of Copilot. It lets you create virtual assistants that answer industry-specific questions, automate business processes, and integrate with third-party systems through Power Automate.

Custom Copilots can be connected to proprietary data sources (SharePoint, SQL Server, company APIs, Dataverse) and published to Teams, websites, mobile apps, or email channels. No coding skills are required: configuration happens through a graphical interface and natural language.

For companies that need advanced automation or complex integrations, Copilot Studio can be paired with Azure OpenAI Service, which lets you use GPT models in fully private Azure cloud environments, with data residency in Europe and SOC 2 / ISO 27001 guarantees.

From Yellow Tech's experience rolling out AI at Italian companies, deploying Copilot needs a structured approach. Companies that adopt it without training and governance see low active-usage rates (20-30%) and ROI that is hard to measure.

• Phase 1 - Assessment (2-4 weeks): identify the 5-10 high-volume processes where Copilot can generate measurable time savings. Not everything needs automating: start with high-volume repetitive tasks (email replies, meeting summaries, reporting).
• Phase 2 - Pilot (4-8 weeks): activate Copilot for a pilot group of 20-30 people, preferably from different departments. Measure time saved on specific tasks, gather qualitative feedback.
• Phase 3 - Training (ongoing): a minimum of 4 hours of hands-on training for each user, with exercises on real use cases for their role. Generic training does not work: a sales manager and an HR manager use Copilot in completely different ways.
